Administrative Assistant – Public Works

Position Open until Filled.

Work includes gathering and analyzing information for the preparation and distribution of reports; compiling and calculating statistical data to prepare and monitor the department’s annual budget; and relieving the Department Head of routine administrative duties. Work also involves interpreting and communicating departmental rules and policies; reviewing and answering routine complaints; and coordinating and executing departmental personnel, payroll and records functions.  Work responsibilities require considerable initiative and independent judgment.  Accomplishments are measured by an administrative superior through written reports, departmental efficiency and results achieved. Relieve Department Head of designated administrative duties related to primary office operations; schedule appointments and meetings; perform clerical, reception, accounting and payroll functions in support of administration and ancillary Board functions.

Analyze administrative problems and recommend/develop improved policies, procedures, and forms in order to improve departmental processes and operation; review and answer questions and routine complaints from co‑workers and the public; conduct client informational interviews; provide accurate information to other agencies, government officials, clients, departmental personnel and the general public, as requested.

Compile and calculate statistical data in preparation of the annual budget; complete a variety of departmental service forms and documents; coordinate the compilation of data, conduct analyses and prepare scheduled/requested reports; balance accounts and monitor departmental invoices, expenditures and vouchers; maintain the department’s petty cash fund; conduct inventory and order departmental supplies; maintain departmental records and files. Assist in the preparation of informational materials related to departmental functions; coordinate and complete federal grant applications; monitor contracts; conduct research for special projects; coordinate and schedule departmental events. Assist with any other duties the department head requests.

Requirements: Graduation from senior high school or equivalent supplemented by course work in general management, public or business administration or related field, and experience in a responsible administrative or supervisory capacity or any equivalent combination of training and experience which provides the desirable knowledges, abilities, and skills.
